How to Run Your Life Out of A Single Spreadsheet
When you open your downloadable Google Sheet, you will first want to make it editable. Go to “File > Make A Copy” (or, “Download”) in the Google Drive menu. From there, you can add it to your own Drive for cloud access anywhere (strongly recommended) or download an excel sheet.
Layout
Across the top, you’ll see the dates and days of the month. The current day will always be highlighted. Down the side, you will see different colored and labeled headers. These are the big segments of your life that you will track. Inside that first column, there is a portion for your top three goals that month, as well as space for notes. Finally, in the main portion of the sheet, you will find your tasks broken down by focus.
Segments
Everyone is always managing different segments of their lives. Things like errands, home, children, work, hobbies, relationships, and fitness all need to be consistently monitored and improved. That can be exhausting! Take some time to label these segments as they best fit your lifestyle. You will see some examples included.
Metrics
Some of us like to track a few key metrics day after day in order to feel balanced and stay on top of things like our mood, energy, and sleep. Use this segment every day on a 1-10 scale, or just placing an X and some notes based on daily habits you’d like to cross off.
Life
From health to finances, your life is always in danger of being swept under the rug as you focus on more important things. Don’t let this happen! Create bold and underlined “focuses” inside your life so it doesn’t turn into a large list of to-do’s that starts to feel overwhelming.
Work
We all do different things for work. If you’re not in an office environment, this task list might be smaller for you. But if there is a repeatable checklist and system you need to complete every day, how great would it be to never miss another deadline or project again?
Projects
Inside your work, you might have larger projects that deserve their own segments for a while: new clients, large presentations, big construction jobs, and more. Also, we should all have passion projects. These are things we work on in our own time that bring us joy and help us develop new skills. Add these into your sheet and make sure you are making progress!
Fitness
Everyone needs a good fitness routine to stay healthy, unless your job is high energy manual labor. You can keep your entire list of exercises in this sheet, or just the few key metrics that you know need improvement over time. You can even use the Google Sheets chart feature to track your growth!
Focuses and Tasks
Now, the best part. Throughout your week, you will see there are lists of smaller focuses and tasks. As you work through your week, you will just strike out these tasks with a simple keyboard shortcut, just like you would a written to-do list!
+ Strikethrough for Windows / Linux: Select what you want to strike and use Alt+Shift+5.

If you aren’t able to complete a task that day, all you have to do is highlight the cells (shift + arrows) and cut & paste them over to the next! No more writing new to-do lists, or forgetting about something that you didn’t get to yesterday.

New Weeks and Months
On Friday (or the best day for you), take just a few minutes to build out your next week. Often, you will have recurring tasks. All you have to do here is highlight those tasks all at once, copy and paste them to the next week, and take away strikeout. Plug in the new to-do’s you know need to happen on specific days, and close out your week knowing you are 100% prepared for the next one.
At the end of the month, the sheet will give you a couple extra days that extend into the next month. This is so you don’t have to interrupt your flow in the middle of a week to create a new sheet. You have a few options here. You can duplicate the entire sheet at the bottom left corner, to keep a record month-by-month of your progress. Or, you can highlight all the cells in the middle of the sheet (including the dates along the top, but not your segments column), right click, and select “Clear Cells”. This will give you a fresh start! Then, all you have to do is type in the first day and date of the month, highlight them both, and drag across the top row. Everything will pre-populate for you.
Moving Forward
As with all systems, they only work when you stay consistent. This sheet is one of the easiest and simplest ways to keep organized, double your productivity, and maximize your time.
